Pricing Policy for HCS Methexis Dance Team - External Events:

This policy outlines the guidelines for hiring the Hellenic Cultural Society of Bristol - Methexis dance team for external events, ensuring smooth coordination, performance quality and clarity for both the client and the team.

Eligibility to Hire HCS Methexis Dance Team:

Event Type: The HCS Methexis dance team may be hired for corporate events, cultural programs, festivals, weddings, or other professional gatherings. Private events will be considered based on team availability and event suitability.

Event Scope: The nature of the event should align with the values and standards of the HCS Methexis. Events that involve any form of inappropriate content will not be considered.

Booking Notice: Requests to hire the team must be made at least 45 days in advance of the event date to allow for adequate preparation.

Application Process to Hire:

Formal Request: Prospective clients must submit a formal request via email, including details such as:

•  Event type and theme.

•  Expected audience size.

• Location, date and time of the event.

• Performance duration and any special requests (e.g., specific dance origin, etc)

Review and Approval: The Board of Trustees will review the request to ensure alignment with their values and schedule. If approved, a follow-up communication will be scheduled to finalize the performance details.

Performance Customization: Our dance instructor may tailor the performance to suit the event's theme, provided there is enough notice and it aligns with the artistic capabilities of the dance team.

Performance Requirements:

Stage and Technical Requirements: The client must provide a stage or performance area that meets the technical and spatial needs of the dance team. This includes proper sound, lighting and if applicable, floor surfaces.

Rehearsal: Depending on the complexity of the event, the dance team may require access to the venue for rehearsals prior to the event. This will be discussed during the planning stage.

Performance Duration: The duration of performances will be pre-agreed upon, typically ranging from 20 minutes to 1 hour, depending on the client's needs and the event.

Fees and Payment Terms:

Performance Fee: The fee will vary depending on the event type, duration, location, and any additional services requested (such as choreography customization).

Deposit: A payment of 25% of the total cost is required in advance to secure the booking.

Final Payment: The remaining balance must be paid no later than 7 days before the event.

Additional Costs: Any extra costs related to travel, accommodation, or specific props will be added to the total costs, if applicable.

Cancellation Policy

Cancellation by the Client:

More than 30 days before the event:  Full refund of the deposit.

More than 14 Days before Event: If the client cancels the booking more than 14 days before the event, the HCS Methexis will retain the security deposit.

Less than 14 Days before Event: If the client cancels within 14 days of the event, the client will be liable for 100% of the agreed-upon performance fee.

Force Majeure: In cases of unforeseen circumstances such as natural disasters, government restrictions, or other emergencies, the agreement may be cancelled or postponed without penalty to either party, provided that both parties agree on the decision.

Cancellation by HCS Methexis:

Force Majeure or Unforeseen Circumstances: If the HCS Methexis needs to cancel the performance due to illness, emergency, or force majeure, they will refund the client 100% of any payments made.

Postponement of Event:

Client - Initiated Postponement: If the event is postponed, the HCS Methexis dance team will make every effort to perform on the new date, provided it fits within their schedule. If they are unavailable for the new date, the agreement will be voided and the client will be refunded any payments made, minus the deposit.

HCS Methexis - Initiated Postponement: If the HCS Methexis requests to postpone the event due to unforeseen circumstances, the client may choose to either agree to the new date or receive a full refund.
